Job Summary
The Probation Support Services (PSS) Assistants main responsibility is to complete all ODYS Commitments, facilitate scheduling, acts as the liaison between ODYS, Detention Center, Probation, Parole, Court Room, and Sheriff’s Transport partners, problem-solve all Intake delays, and submit and review Intake Packet paperwork for completeness. Additionally, the PSS Assistant is to provide excellent service for in-person and incoming phone calls to youth, families, legal guardians, attorneys, agencies, and all other visitors. Other daily tasks will include Record Room management, Police Reports, court management system updates, and Probation Case Assignments. Lastly, the PSS Assistant will act as lead in absence of the PSS Supervisor.

The Probation Support Services (PSS) Assistant works directly with the PSS Supervisor to maintain Probation standards, assign staff work, assist in staff performance evaluations and development, and ensure completion of operational needs within the unit. This position is responsible for observing trends in the unit and recommending process improvements to the PSS Supervisor and supervising the unit in the absence of the supervisor as assigned.
This position also functions as the Ohio Department of Youth Services (ODYS) Liaison and is responsible for ensuring the timely completion of juvenile commitments to ODYS.
Interviews families of youth who are committed to ODYS and review ODYS commitment packets for accuracy.
Maintains open communication with ODYS Intake offices and Juvenile Parole Officers.
Facilitates ODYS transportation through the Sheriff’s Department.
Maintains a working knowledge of each staff member’s position within the unit.
Completes probation intake work assignments to include: processing investigation and supervision probation cases, processing interstate/intrastate cases, directing case assignment, processing juvenile fingerprinting and DNA collection, and managing and maintaining probation record room and database.
Communicates with Judges, Magistrates, and other Courtroom and Court personnel regarding case flow process and other PSS concerns.
Coordinates, analyzes and recommends modifications for work-flow processes in the PSS Record Room and Intake Unit.
Performs other duties as assigned.
Supervisory Responsibilities
Has no direct supervisory responsibility for staff members.
Equipment Operated
Standard office equipment and office technology such as copy machines, personal computers and telephones.
Confidential Data
All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.
Working Conditions
Works in a general office setting with moderate noise levels.
Usual Physical Demands
While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds.
Knowledge, Qualifications, Skills, and Abilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
A thorough understanding of Court operations (demonstrable knowledge of iCase preferred). Must be willing to work as part of a team. Demonstrated ability to communicate effectively both verbally and in writing. Excellent interpersonal; problem solving and leadership skills. Ability to work effectively under deadlines and pressure. Affinity to detail. Well organized, with the ability to keep accurate records. Must demonstrate excellent customer service skills. Well organized, efficient in managing time, able to maintain a high level of confidentiality. Must be a self-starter and able to work independently with minimum supervision. Must have experience with Microsoft Office: Word and Excel.
Education and/or Experience
Bachelor’s Degree or equivalent experience in a Court or legal environment. Equivalency: Two (2) years of related experience equals one (1) year of education.
AND
Three (3) months of work experience in a Court or law office environment, prefer a candidate with office supervisory experience.
