Job Summary

The Attendance Specialist is responsible for aiding the Detention Center Administration and Detention Center Management to efficiently complete data entry for Kronos and SchedulePro. Collaborates with Human Resources to effectively monitor use of accrued time, medical leaves, and FMLA. Provides quality assurance for KRONOS.

 

Essential Duties and Responsibilities

Assists with processing payroll for the employees of the Cuyahoga County Juvenile Detention Center. Coordinates and facilitates payroll documents and information. Provides support to managers on monitoring use of accrued time.

Reviews timecards before submitted to payroll specialist to compare against worker’s compensation, FMLA, administrative leaves by reviewing each shift log and ensuring timecard matches details in the shift log for all employee call offs. In addition, tracks employee FMLA usage to ensure call offs are consistent with medical documentation.

Assists in auditing timecards to ensure accuracy as a support to Detention Managers. Provide coverage for timecards when managers are out on vacation.

Provides input for policies and procedures relative to payroll processing, and implements accordingly.

Investigates and resolves payroll processing and paycheck related problems including the review of CCTV to verify times an employee clocked out for KRONOS timeclock issues/malfunctions

Responds to employee and management payroll inquiries.

Prepares multiple bi-weekly payroll and SchedulePro reports.

Prepares attendance disciplinary documents for management to execute.

Assists with tracking, recording, and filing all attendance related discipline documents.

Aids Assistant Superintendent in preparation for meetings with the Managers as it pertains to attendance-related issues.

Uses statistical data to identify patterns, as it relates to time and attendance on a consistent basis.

Maintains accurate data entry in Kronos and SchedulePro.

Assists with providing training to employees and managers on using the Kronos Timekeeping system and SchedulePro.

Performs other duties as assigned.

Supervisory Responsibilities

Has no direct supervisory responsibility for staff members.

Equipment Operated

Standard office equipment and office technology such as copy machines, personal computers and telephones.

Confidential Data

All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility. All employee personal data that the employee may come in contact with by processing payroll.

Working Conditions

Works in a general office setting with moderate noise levels.  May be subject to interruptions, quick deliverables, and changing work deadlines.

Usual Physical Demands

While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear.  The employee must occasionally lift and/or move up to 10 pounds.

Knowledge, Qualifications, Skills, and Abilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

 

Knowledge of payroll activities, effective interpersonal and communication skills; demonstrable mathematical and analytical skills, leadership skills; ability to maintain a high degree of confidentiality. PC literacy required, including Microsoft Excel and Kronos or other HRIS/timekeeping programs. Ability to work within strict time deadlines.

Education and/or Experience

Associate’s Degree, preferably in a business related field. Will accept equivalent years of work experience: 2 years of related work experience equals 1 year of college. Related experience is defined as: direct work experience in payroll processing, personnel processing or accounting.

In addition to the education requirement a qualified candidate must have at least three (3) years of direct work experience in a position which involved payroll processing, accounting or auditing duties.
