Job Summary

The Lead Case Management Clerk will have all the same duties required of a case management clerk as well as assisting the Senior Supervisor of the Case Management Clerks. A Case Management Clerk is responsible for completing a wide range of administrative duties as required by the Ohio Revised Code and as directed by their assigned Jurist or the Director of the Clerk of Court. These administrative duties can include, but are not limited to: assisting the jurist in the orderly flow and completion of cases and hearings in accordance with the jurist's daily docket and overall case load; ensuring all necessary court proceedings are recorded through the court's audio-visual system; swearing in witnesses; processing and maintaining exhibits offered in the courtroom; scheduling hearings and issuing notices to all parties and counsel; transcribing notes as needed and drafting proposed journal entries for the jurist to review at the conclusion of each hearing. The position requires interaction with Judges, Lawyers, Litigants, and other members of the public. It requires providing assistance to the Senior Supervisor including assisting with training new staff, assisting with training on new procedures, providing coverage when the Senior Supervisor is absent, providing coverage in a courtroom when needed, monitor and compile unit statistics/productivity, and other duties as assigned.

 

Essential Duties and Responsibilities

The Lead Case Management Clerk provides support to the Senior Supervisor within the assigned unit and to the Clerk’s Office as a whole.

Provides front line support to staff work related issues as they arise; consults with the Senior Supervisor when a work-related issue cannot be resolved.

Acts as a lead trainer for all new staff in assigned unit, providing consistency with training and unit procedures.

Assists Senior Supervisor with training all staff on new and/or revised procedures.

Acts as a peer mentor assisting new staff to become acclimated to working in the Clerk’s Office in a positive manner.

Assists with providing coverage assisting with work related issues when Senior Supervisor is absent (i.e., communicating with iCase Helpdesk, etc.).

Provides feedback to the Senior Supervisor if there is a need for any staff to receive additional training or assistance in job related duties.

Suggests modifications or improvements to processes and procedures.

Distributes work under the direction of the Senior Supervisor.                 

Acts as a case management clerk whenever coverage is needed. These duties include:

  • Provides secretarial and clerical assistance to Magistrate to communicate accurate information and to facilitate timely movement of people and paperwork through a daily docket.
  • Types accurate and timely journal entries, finding of fact, orders, decisions, correspondence, and other documents.
  • Serves as a receptionist for the Magistrate, answers phone calls, takes messages, responds to inquiries about court docket and procedures, checks in parties and witnesses, and assists the Magistrate in bringing parties and witnesses and case files into the courtroom and schedules appointments.
  • Prepares and distributes notice of hearing forms and/or waiver of service forms and witness vouchers.
  • Secures Court records, files and other necessary documents for Court hearings and enters location(s) of such documents into appropriate tracking system(s).
  • Maintains statistical reports and an accurate filing system of all Court documents and correspondence.
  • Enters hearing results, dispositions, and other data into the case management systems.

Performs other duties as assigned.

Supervisory Responsibilities

Has no direct supervisory responsibility for staff members.

Equipment Operated

Standard office equipment and office technology such as copy machines, personal computers and telephones.

Confidential Data

All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.

Working Conditions

Potential exposure to hazardous situations that may occur in the court environment.  Must be able to tolerate exposure to evidence and testimony that may be disturbing; clients who may potentially be verbally or physically uncooperative; allergens, such as perfumes and dust. Must be able to work in a fast paced and high volume environment.

Usual Physical Demands

While performing the duties of this job, the employee is required to sit, walk, speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds. This position is subject to many interruptions and may be required to handle multiple calls and inquiries at once.

Knowledge, Qualifications, Skills, and Abilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

Must type a minimum of 40 WPM on automated system. Must use correct spelling and grammar. Skills and knowledge testing will be administered prior to interviews for this position.  Ability to organize work, communicate effectively, and handle challenging situations; requires knowledge of the role of the Magistrate in the juvenile justice system, Court procedures, the importance of journal entries; ability to work with the public and with court staff; telephone communication skills are necessary. Must possess the ability to answer a large volume of phone calls daily. Excellent customer service skills are needed for this position.

Must have good oral and written communication skills, intermediate level computer skills, ability to use a copy machine and a fax machine. Working knowledge of Clerk’s Office overall operations and the importance of how it fits into the Court. Must be dependable. Must be able to work effectively with courtroom personnel, other court employees and the general public. Must be professional and helpful in a fast-paced and potentially stressful environment. Proficient in operating iCase (or ability to become proficient) and knowledge of Microsoft Word. Must be a self-starter with leadership abilities. The employee may be required to work at multiple locations. 

Education and/or Experience

High school education or equivalent.

AND

Four (4) years’ work experience in a clerical position.
