Job Summary

The Administrative Secretary provides administrative support to the Superintendent and Administration Staff of the Cuyahoga County Court of Common Pleas Juvenile Detention Center.  Performs complex secretarial functions of a highly responsible and confidential nature.  Performs a wide variety of administrative duties that require a high degree of poise and judgment.

Essential Duties and Responsibilities

Types, reproduces, and disseminates material, including letters, correspondence, reports, and other required forms and documents. 

Maintains a record filing system for documents.

Answers telephone calls for the Superintendent and Detention Administration staff, relays messages, and schedules appointments as appropriate.

Maintains strict confidentiality and consistently models professionalism as Administrative Secretary to the Superintendent.

As directed by the Superintendent, organizes and schedules meetings.  Attends meetings, takes and composes minutes.  Maintains appointment calendar and coordinates attendance at meetings.  Schedules appointments in a manner that ensures the most efficient use of the Superintendent’s time.

Assists employees, callers, and visitors or insures that individuals reach the correct department to address their inquiry. 

Coordinates travel, training, and conference arrangements for Detention staff.

Schedules applicant interviews and assists in the interview process when needed.

Performs other duties as assigned.

Supervisory Responsibilities

Has no direct supervisory responsibility for staff members.

Equipment Operated

Standard office equipment and office technology such as copy machines, personal computers and telephones.

Confidential Data

All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.

Working Conditions

Works in a general office setting with moderate noise levels. 

Usual Physical Demands

While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear.  The employee must occasionally lift and/or move up to 10 pounds.

Knowledge, Qualifications, Skills, and Abilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

 

Demonstrable proficiency in Microsoft Word and Microsoft Excel; Familiarity with keyboarding; good spelling and grammar; must score at least 45 WPM on the general typing test. Skills and knowledge testing will be administered prior to interviews for this position.  Position requires the ability to organize work, communicate effectively, and handle stressful situations; ability to work with the public and with court staff; telephone communication skills are necessary.

Education and/or Experience

High school diploma or equivalent

AND

Six (6) years of work experience in a clerical position.

Licensure or Certification Requirements

None.
