Job Summary

A Legal Services Clerk is responsible for completing a wide range of administrative duties as required by the Ohio Revised Code and as assigned by the Administrative Judge or the Director of the Clerk of Court. These administrative duties can include, but are not limited to: accepting, filing and processing of motions, pleadings, evidence, journal entries and other documents filed with or issued by the Court; issuing hearing notices and service to parties; maintaining and preserving court records including the court docket; and assisting the public in person, by phone and by email. The position requires interaction with Judges, Lawyers, Litigants, and other members of the public.

 

Essential Duties and Responsibilities

Provides clerical support to the Court Services Department.

Initiates family information, number case files, assign judge/court date.

Issues service, notices, and warrants.

Files and processes complaints, motions, pleadings, journal entries and court orders.

Enters, scans, and proofs return service and returned journal entries.

Interacts and communicates with intake and courtrooms to verify information.

Enters amendment changes and dispositions.

Re-opens cases for violations.

Sorts, prioritizes and logs requests for counsel by type, hearing date and judge.

Utilizes Cuyahoga County Court of Common Pleas Juvenile Division information system to enter and retrieve court related data.

Prepares records for appeals and requests transcripts.

Processes sealed and expunged records.

Retrieves needed court room files.

Retrieves information for public records requests.

Answers telephone and in person requests from courtrooms, counsel and clients.

Tracks location of court files.

Issues warrants; processes Civil Protection Orders, bonds and IV-D information; scans and proofs documents.

Answers and directs the main incoming telephone lines for Cuyahoga County Court of Common Pleas Juvenile Division.

Processes and assists clients, counsel, courtrooms, Court staff with in-person and telephone requests.

Sorts and distributes court mail.

Performs other duties as assigned.

Supervisory Responsibilities

Has no direct supervisory responsibility for staff members.

Equipment Operated

Standard office equipment and office technology such as copy machines, personal computers, automated mail machine, scanning machine, microfilm machine and telephones.

Confidential Data

All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.

Working Conditions

Potential exposure to hazardous situations that may occur in the court environment.  Must be able to tolerate exposure to evidence and testimony that may be disturbing; clients who may potentially be verbally or physically uncooperative; allergens, such as perfumes and dust.

Usual Physical Demands

While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee must occasionally lift and/or move up to 10 pounds. This position is subject to many interruptions and may be required to handle multiple calls and inquiries at once.

Knowledge, Qualifications, Skills, and Abilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

 

Demonstrated ability to communicate effectively, both orally and in writing. Ability to follow verbal directions. Affinity to detail. Ability to utilize a computer for entering and retrieving data. Basic math calculation skills. Must have good interpersonal skills. Ability to keep accurate records. Ability to file.

Education and/or Experience

High school diploma or equivalent

And

One (1) year work experience in a clerical setting, preferably in a legal environment.
